TERMS AND CONDITIONS
Major Travel USA LLC
1. ACCEPTANCE OF TERMS
By accessing or using the Major Travel USA LLC website ("Site") and services or booking a trip with us, you ("User," "Customer," or "you") agree to be bound by these Terms and Conditions ("Terms"). If you do not agree to these Terms, do not use our Site or book a trip with us..
These Terms constitute a legally binding agreement between you and Major Travel USA LLC ("Company," "we," "us," or "our"). We may update these Terms at any time by posting revised terms on our Site. Your continued use of our services after such changes constitutes acceptance of the new Terms.
2. DESCRIPTION
Major Travel USA LLC provides comprehensive corporate travel services including:
- Online travel booking platform for flights, hotels, car rentals, and other travel services
- Integration with third-party travel suppliers and service providers
3. TRAVEL & STAY OPTIONS & PRICES
Trip prices are influenced by a variety of factors depending on the type of travel option you book. Because of the wide range of arrangements available, it is not possible to display all supplements and fares online. Prices shown on our website are for guidance only. We can usually offer you a choice of travel options, including dates, times, and service levels. Our transportation providers may also offer different seat classes or upgrade options, which your travel agent can confirm at the time of booking.
All prices are based on bookings made by U.S. residents. If you are not a U.S. resident, you may be liable for additional charges at check-in/check-out. We are not responsible for such additional charges.
All prices are quoted in U.S. dollars (USD).
4. SCHEDULED FLIGHTS
Prices shown for scheduled flights are based on the lowest available fare at the time of booking. Airlines restrict the number of seats offered at these fares on each flight and date. If the advertised fare is no longer available when you book, we will provide the next best available option.
Prices include mandatory government-imposed taxes and fees (such as U.S. Transportation Security Administration [TSA] fees, September 11th Security Fees, and applicable U.S. and foreign airport charges), fuel surcharges, insurance surcharges, and other known costs at the time of booking. Prices may change if these costs increase (see Extra Charges – Before Booking).
5. AIRLINE SERVICES
Some airlines no longer include checked baggage, meals, or seat selection in their base fare. These items may be available for purchase directly from the airline. Please ask us at the time of booking for specific details relating to your chosen carrier.
6. EXTRA CHARGES – BEFORE BOOKING
Prices shown are based on current airfare, fuel surcharges, and government taxes/fees. Airlines reserve the right to adjust prices prior to ticket issuance. We also reserve the right to increase prices due to changes in fuel costs, government-imposed taxes/fees, or security charges.
7. DEPARTURE AIRPORT TAXES
Where possible, U.S. and international airport taxes and fees are included in your travel package. However, some governments require certain fees or tourism-related charges to be collected directly upon arrival or departure and cannot be prepaid in the U.S. Examples include destination country passenger service charges or tourism enhancement fees. You are responsible for paying these charges locally
8. ACCOMMODATION SUPPLEMENTS & RESTRICTIONS
Hotel rates are generally shown per person (based on two people sharing a standard twin or double room) for the number of nights stated. The lowest available rate is displayed, but prices may vary depending on travel dates, peak seasons, weekends, local holidays, and special events. Room type upgrades and supplements may also apply.
Hotels may impose minimum length-of-stay requirements during certain times of the year. Please check with your travel agent for current rates and restrictions.
We reserve the right to adjust prices at any time prior to booking. Prices may increase or decrease depending on availability and demand.
9. LOCAL CHARGES
At certain accommodations, specific amenities, services, or facilities may carry an additional local charge. Unless expressly stated as “included” or “complimentary” in your accommodation description, you may be asked to pay for them directly at the property. Charges vary by property and destination. Examples include, but are not limited to:
- Daily resort fees, or supplemental charges for poolside sun loungers or cabanas.
- Daily parking charges at hotels, resorts, or apartments.
- Local occupancy taxes or tourism fees payable at check-out (for example, state or municipal hotel taxes or international equivalents).
- Entertainment, excursions, and activities not provided by the accommodation.
- Highchairs, cribs/cots, children’s clubs operated by the hotel, or infant meal plans.
- Meals and beverages purchased from on-site restaurants, bars, or room service.
- In-room extras such as safety deposit boxes, mini-bars, pay-per-view or premium TV, telephone calls, or air conditioning controls (where individually metered).
- Use of facilities such as spas, whirlpools, saunas, indoor pools, specialty sporting equipment, and towel service.
All such charges are set and collected by the accommodation provider, not by us, and are subject to change without notice.
10. FREQUENT FLYER SCHEMES
Not all airline tickets purchased through us qualify for mileage or points accrual under frequent flyer programs. Accrual depends on airline policies, the fare class purchased, and program rules. You are responsible for confirming eligibility with the airline(s) directly. We cannot guarantee mileage accrual, upgrades, or benefits through frequent flyer programs.
11. CHILD AGES
For the purpose of travel bookings:
Flights & Package Travel: A “child” is defined as being under 12 years old on the last day of the itinerary. This means the child must be 11 years old or younger upon arrival at their final destination as listed on the travel itinerary (typically the return to the United States).
Hotels: A child must be 11 years old or younger on the date of check-out from the hotel to qualify for child rates.
Some airlines and hotels may offer youth or child discounts up to higher ages (commonly 16 or 17 years old). Where applicable, the passenger must be under the stated age limit on the day of arrival at the final destination for the discount to apply.
12. SCHEDULED FLIGHTS
Flights may be booked in conjunction with hotels, ground transportation, or other travel services. Flight times provided at the time of booking are provisional and subject to change by the airline. Your final flight schedule will be confirmed in your travel documents, which are typically issued shortly before your departure date. Airlines reserve the right to adjust flight schedules, aircraft, or routes at any time in accordance with U.S. Department of Transportation (DOT) regulations. We are not liable for schedule changes beyond our control.
13. SPECIAL OFFERS
Unless otherwise stated, special offers apply only to designated travel periods, select hotels, or specific airlines. Additional conditions may apply, and these will be explained at the time of booking. All special offers are subject to availability and may be modified or withdrawn without notice.
Validity periods typically apply to completed stays within the listed date ranges, though individual hotels may impose different terms. It is your responsibility to review the specific conditions associated with each offer.
14. HONEYMOONS AND OTHER SPECIAL EVENTS
If you have booked and paid for a honeymoon offer that is explicitly advertised and listed on your invoice, this will be guaranteed by the hotel upon presentation of proof of marriage (e.g., a marriage certificate dated within the period required by the hotel). If you fail to provide the required documentation, the hotel may charge additional costs or deny the honeymoon benefits.
For other special occasions (such as anniversaries, birthdays, or celebrations), we will pass your request to the hotel; however, such requests are not guaranteed and are at the hotel’s discretion.
15. COMPLIMENTARY ROOM UPGRADES
Where advertised, complimentary room upgrades are strictly subject to availability at the time of check-in. Upgrades are not guaranteed and may not always be to the immediately higher room category, as not all hotels make every category available through our services. Allocation of upgraded rooms is solely at the discretion of the accommodation provider at the time of your arrival.
16. PASSPORTS & VISA CHECKLIST
- U.S. Citizens – Passport Validity: A valid U.S. passport is required for all international travel.
- Many countries require at least six (6) months validity beyond your date of entry.

- Each passenger is responsible for holding valid passports, visas, health certificates (if required), and any other travel documentation.
- Failure to comply may result in: Refusal of carriage by the airline, Refusal of entry by immigration authorities, and/or Fines, surcharges, the cost of an immediate return flight, or other financial penalties.

19. ADVANCE PASSENGER INFORMATION (API)
Airlines are required by U.S. law to collect biographical passenger information (such as full legal name, date of birth, gender, and passport number for international flights) prior to departure. This information is known as Advance Passenger Information (API) or Secure Flight Passenger Data.
Who Requires It: API is collected under the authority of the U.S. Transportation Security Administration (TSA) and U.S. Customs and Border Protection (CBP), both part of the Department of Homeland Security (DHS).
When It Must Be Provided: For many destinations, this information must be submitted at the time of booking or no later than 72 hours prior to travel. Some airlines allow collection at check-in, but you must follow the specific instructions on your travel documents.
How It’s Used: API is matched against security watchlists to confirm traveler eligibility and to comply with international border security requirements.
Your Responsibility: You are responsible for ensuring that the information you provide exactly matches the details in your passport and other travel documents.
Consequences of Errors: Failure to provide correct API details may result in denial of boarding, refusal of entry into a country, and/or fines or penalties imposed by authorities. In such cases, we are not liable for losses or additional costs, or damages.
More Information: For full details on Secure Flight and passenger data requirements, visit the TSA Secure Flight Program at https://www.tsa.gov/secureflight.
Please carefully review all instructions relating to Advance Passenger Information on your confirmation invoice and travel documents.
GROUND ARRANGEMENTS & YOUR JOURNEY
1. ACCOMMODATION
Every effort has been made to describe each hotel and standard room type we feature as fairly and accurately as possible. We rely on hoteliers and accommodation providers to notify us of significant changes, and where possible, we will advise you of such changes prior to your departure.
- Meals: Meals are included only where specifically stated in your booking confirmation. Unless otherwise noted, all accommodations are provided on a room-only basis.
- Pricing: Accommodation is generally priced per person, based on double occupancy (twin-share) unless otherwise stated. Please confirm exact pricing details with our reservations team at the time of booking. Mandatory local charges such as resort fees, city occupancy taxes, or facility fees are not included unless specifically stated and are payable directly to the hotel.
- Room Types: When room types are described, you can generally expect to receive accommodations similar to the description provided. However, please note:
Room category names (e.g., “Deluxe,” “Superior,” “Standard”) are designations chosen by each hotel.
Classification standards differ between hotels and countries, and identical category names do not guarantee identical features.
- Hotel Descriptions: We make every effort to ensure that the hotels and other accommodations featured on our website are accurately represented and meet reasonable expectations for quality and service.
- Star Ratings: Where a star rating or classification is shown, this rating is based on our own independent assessment of the property’s overall quality, facilities, and level of service. There is no single internationally recognized standard for hotel ratings, and standards may vary across destinations.
Please be aware that standards, facilities, and services may differ from those typically experienced in the United States, even when accommodations appear to be similarly rated.
ADA Accessibility: If you require ADA-compliant rooms or other accessibility accommodations, please advise us at the time of booking. While we will pass your request on to the property, we cannot guarantee that such accommodations will be available unless confirmed in writing by the hotel.
California Mandatory Fee Disclosure:
In compliance with California law (AB 537, effective July 1, 2024), all mandatory hotel-imposed charges such as resort fees, destination fees, cleaning fees, or other non-optional surcharges must be included in the total price displayed at the time of booking. We make every effort to provide you with an accurate total cost that includes such fees when disclosed by the property. However, if a hotel imposes additional mandatory fees that were not disclosed to us prior to booking, these will remain your responsibility and must be paid directly to the property at check-in or check-out.
2. SHARED ACCOMMODATION
On most escorted and independent tours featured, shared accommodation is included in the cost of the tour. A Single Supplement will apply.
3. SHARED ACCOMMODATION
If a single person occupies a double room, they will usually be asked to pay an additional charge known as a single supplement. Hotels generally price their rooms as doubles and do not reduce the rates if they are occupied by a single guest. The costs to the hotel of providing the room—heating, lighting, cleaning, etc.—are the same regardless of the number of occupants. The prices we charge reflect the costs of under-occupancy of the rooms contracted to us by the hotel. We do not add any additional mark-up to these supplements.
4. ROOM TYPES INFORMATION
In all types of accommodation described below, if there are fewer than the maximum number of people in your party, the room type may contain fewer beds than the maximum indicated.
5. HOTEL ROOMS
A “double” is a room with one double bed. A “twin” is a room with two single beds. A “single” or “twin for sole use” is a room with one or two single beds. In some hotels, a double bed may consist of two single beds joined together with double bedding.
Single rooms are often smaller, may not have a balcony, and may not be of the same general standard as twin rooms. Some hotels have rooms that sleep up to 4 people. Room layouts may include up to 4 separate beds, or a combination of double, twin, camp beds, sofa beds, or rollaway beds. In some hotels, the 3rd and 4th beds may only be suitable for children, while in others there may be a reduced rate available if 4 adults share a room. Rooms for up to 4 people may not be larger than standard twin or double rooms, and space may be limited or cramped.
Where rooms accept extra beds, some hotels may require an additional local charge (such as resort fees, rollaway bed charges, or city occupancy taxes). These charges vary by property and destination and are payable directly to the hotel. Please ask for details when you book.
While we will make every effort to accommodate your preferences, we cannot guarantee room configuration, bedding type, or specific requests, as these are at the discretion of the hotel.
6. SUITES/JUNIOR SUITES/VILLAS
A Suite and Junior Suite usually but not always contain a lounge/living area. A Suite is likely to contain a separate sleeping area whereas a Junior Suite the sleeping area may not be completely separate. Room layouts can vary by destination. Our descriptions of Suites/Junior Suites and Villas usually state the number of persons who can occupy the room type (e.g., 2-4 persons) but please reconfirm this at the time of booking. Children paying less than the full cost do not count towards occupancy of the Suites/Junior Suites or Villas.
Descriptions and photographs of Suites, Junior Suites, and Villas are provided for general guidance only and actual layouts, furnishings, and amenities may vary by property. No warranty is made that your accommodations will be identical to any description or image provided.
7. CHILD REDUCTIONS
Child reductions are usually available for children who are under the age of 12 on the date of travel. To obtain this reduction in cost, children must share a room with two full paying adults and use existing bedding within the room type booked. Where an additional bed is required, our reservations staff will be pleased to advise you of the additional cost. Rooms shared by adults and children are requested through our system and are therefore subject to availability.
Any reductions, discounts, or promotional offers for children will be confirmed in writing at the time of booking and reflected in your confirmation invoice.
8. TOUR ITINERARY
All our tours are, by their very nature, complex and include services from many different suppliers, including, but not limited to airlines, hotels and ground transportation companies. Because these services are provided by third parties, it is not always possible to guarantee the availability of any particular airline, aircraft, ferry, train, hotel, or other service listed in your itinerary or departure date. It is with this in mind that we reserve the right to make substitutions or modifications as necessary, including altering the sequence of visits or other elements of the itinerary due to local conditions, supplier availability, or other factors beyond our reasonable control, without prior notice. Where any alteration significantly affects your tour itinerary or tour dates prior to departure, we will always make every effort to give you as much advance notification as possible. Changes to tours may also be necessary once the tour has commenced. In such cases, every reasonable effort will be made to minimize disruption and provide alternative arrangements of comparable value where possible, changes may include the sequence of visits being altered according to local conditions .
Please note that Major Travel USA LLC acts only as an agent in arranging these services and does not own, control, or operate the independent suppliers that provide them. Accordingly, we are not responsible for the acts or omissions of such suppliers.
Changes to tours may also be necessary once the tour has commenced, changes may include the sequence of visits being altered according to local conditions.
9. MEAL SERVICE
Meals as specified are included only where indicated on your booking confirmation; stated in your booking confirmation; all other arrangements are on a room only basis. Please note that many properties outside the United States may not be accustomed to catering for special dietary needs, and while every effort will be made to accommodate such requests. Therefore if you have particular or specific requirements, you may find that the choice may be limited. Guests with dietary restrictions are encouraged to notify us at the time of booking so we can advise the property in advance, though we cannot guarantee the availability or suitability of special meals.
As a matter of courtesy to fellow guests and in accordance with local customs, property owners may require diners to adhere to a dress code whilst dining in their restaurants.
10. HOTEL CHECK-IN
Your room will normally be available for check-in from 3pm onwards, although in some cases, check-in times may be later than this. If you expect to arrive late due to a pre-arranged flight schedule or transfers, please notify your hotel in advance of your arrival.
On the day of departure, you will be asked to check out before 12 noon and in some cases as early as 10am. Should you wish to request a late check out as you have a late afternoon or evening departure, the hotel may decide to apply additional charges. If you wish to pre-book and guarantee an additional half-day’s occupancy, please ask our reservations staff for details and prices. Customers may be required to leave a credit card deposit at hotel check-in to cover incidental expenses. In cases where. If a credit card is not available, a cash deposit may be required instead.
11. AIR CONDITIONING
Some properties have individual air-conditioners located in either the bedroom or the living area, allowing you to adjust the atmosphere to your own liking. Some may operate centrally controlled air conditioning. This means it is operated at the discretion of the management, both in bedrooms and public areas. In such cases air conditioning may be restricted to particular times of the day and to the hottest months of the summer. It may be that only cool air is provided, not necessarily warm air as well. There may be a local charge for air conditioning in some rooms.
12. ACCOMMODATION MAINTENANCE
Certain accommodations we offer are operational all year round. As a result, routine maintenance or emergency repairs may occasionally result in the temporary unavailability of certain facilities. Water and electricity supplies may also be interrupted whilst this essential maintenance is undertaken.
13. OTHER GUESTS
We do not have exclusive use of the properties we offer. It is possible therefore, that there may be guests from other countries and of mixed age groups at your accommodation. Many hotels we feature do operate corporate conferences, weddings, or other private events, which may take place during your stay.
14. HOTEL-RUN CHILDREN’S CLUBS
Standards and facilities at kids’ clubs we offer may vary by destination and property. We do not accept responsibility for or give any guarantee regarding the quality, safety, or staff qualifications of such facilities. Kids’ club(s) outside of the United States may not meet the same standards of similar facilities within the U.S. Guests are strongly advised to remember that local standards and requirements in respect of such clubs may differ overseas and so you must ensure that you are completely satisfied with the facilities and staff providing this service before you enroll your child or children into the club. Participation is at the discretion of the parent or guardian, and the hotel assumes responsibility once the child is placed in their clubs’ care.
15. GALA DINNERS
Many hotels require the compulsory purchase of gala dinners over the Christmas and New Year period as well as during other major local holidays. Please enquire when booking as to whether this requirement is applicable to your hotel.
16. BUILDING WORKS
Building works and noise are sometimes unavoidable in certain developing areas, resorts and cities. Unfortunately, such development is not directly under our control, nor do we necessarily receive advance notice of when they begin. Should we be aware of any building works that may be considered to be a serious detriment to your enjoyment, we will notify you as soon as possible. If possible, we will offer you the opportunity to transfer to an alternative hotel. Some public facilities at hotels, such as restaurants, bars and swimming pools, may only be available during mid-week or high season. We will, wherever possible, inform you if this is the case at the time of booking. In some destinations work is carried out by local/national authorities of which we have no control and cannot be held responsible.
17. ALL INCLUSIVE
To help you choose your all-inclusive trip we have highlighted what activities and facilities are included with each accommodation. This is based on information we have received from the hotel management, often dictated by the property's current season's all-inclusive package. Please allow for some facilities or activities to be altered or substituted when you travel though, as hotels do regularly review and update what they offer as all inclusive.
18. IDENTIFICATION
When you arrive at your hotel you are likely to be provided with some form of identification (a card, necklace, bracelet etc.), which will have to be shown when ordering drinks, meals and other included facilities. Ensure you take care of this as a penalty charge is likely to be imposed if lost.
19. BEHAVIOR
Both we and each of the all-inclusive hotels reserve the right to withdraw the identification facility of any guest(s) whose behavior, or whose child/children’s behavior is such that it is, in the opinion of the management, detrimental to the enjoyment of the other guests.
20. ALCOHOL
Having drinks freely available throughout the day can be a temptation to over-indulge. Please therefore consider your fellow guests (and your own health) while bearing in mind that hotel management have every right to refuse service to guests they believe to be intoxicated or underage (in accordance with local law).
21. BOTTLED MINERAL WATER
In some all-inclusive hotels bottled mineral water does not form part of the ‘unlimited soft drinks service’.
22. LOCALLY SOURCED DRINKS/SNACKS
Drinks included are generally only locally produced brands; cocktails, international and premium brands and fruit juices are not available unless stated. The type and variety of snacks served (between mealtimes) will vary between hotels and resorts and may be of a more traditional / local variety.
23. WHAT’S NOT INCLUDED
Any additional facilities or services available may incur a charge. Consequently, not all bars/restaurants are available free of charge.
24. COMING HOME
Most hotels remove access to all inclusive facilities, including food and drink at the time of checkout, which is generally 12 noon on the day of departure.
25. SAFETY & HYGIENE
Your health and safety are of paramount concern to us, especially where children are involved. We carefully monitor the hygiene and safety standards of the hotels, resorts, and apartments that we contract with. However, when traveling overseas, it is essential that you also take personal responsibility and necessary precautions to protect yourself and those traveling with you.
WE ASK THAT YOU REVIEW AND FOLLOW THE HEALTH AND SAFETY INFORMATION PROVIDED BY:
- Our company, agents, or suppliers prior to departure, during your flight, and upon arrival at your destination and accommodations.
- Hotel or resort staff upon check-in, including any posted notices, evacuation procedures, and local rules.
- Official sources such as the U.S. Centers for Disease Control and Prevention (CDC), the U.S. Department of State, and local public health authorities in your destination.
It is most important that you familiarize yourself with all such information and follow any directions given. Your cooperation is essential in helping us ensure your travel experience is as safe, comfortable, and enjoyable as possible.
26. LUGGAGE ALLOWANCE
Please ensure that any luggage taken with you is in good condition and properly labeled. We will advise you of the baggage allowance applicable to your flight at the time of booking, and this will also be confirmed on your e-ticket. Many airlines now charge extra for checked baggage, and some have restrictions on both size and weight.
Carry-on (hand) luggage is typically permitted, subject to airline and Transportation Security Administration (TSA) regulations. Restrictions on liquids, electronics, and prohibited items apply. For the most current information, please review your airline’s policies and the TSA guidelines at www.tsa.gov.
For details regarding your baggage allowance, charges, or restrictions, please contact the airline directly prior to departure. Please note that baggage fees and policies are set by the airline and may change without notice.
27. FLIGHT ROUTING
A direct flight may touch down en route for refueling or to pick up and/or drop off passengers. In these instances, you are normally not required or allowed to disembark, and the flight is still considered to be a direct flight.
A non-direct flight may require a change of aircraft en route, while a non-stop flight will take you directly to your final destination airport without scheduled stops.
28. NON-SMOKING POLICIES
Airlines: All major U.S. and International airlines prohibit smoking on board their aircraft. This includes the use of e-cigarettes and vaping devices.
Airports: Many U.S. and international airports enforce non-smoking policies. Some may provide designated smoking areas outside of terminals or in specific locations.
Hotels: Many hotels offer non-smoking rooms, and in some cases entire properties are designated smoke-free. If you require a non-smoking room, please make this request at the time of booking. While we will pass your request to the hotel, availability cannot be guaranteed.
29. DRIVING
Car Hire Information: Driving standards in some countries may not be as high as you experience in the US and rental policies can differ. If you do hire a car during your trip, we recommend that you select reputable companies, preferably those who provide assistance in case of breakdown or emergency. Major Travel USA LLC offers car hire services in many destinations — please ask for details when booking.
Licensing: In most cases, you will need a valid U.S. driver’s license to rent a car abroad. In some destinations, an International Driving Permit (IDP) may be required in addition to your license. Please check requirements for your destination before you travel.
Unused Services: We do not provide refunds for any unused pre-booked services. Any changes you may need to make to your arrangements during your trip may incur additional charges. If car hire is booked after your package is confirmed, it will not form part of your package and therefore will be treated as a separate booking, not covered under package travel protections or rules and regulations.
30. HEALTH PRECAUTIONS
Health facilities, hygiene standards, and disease risks vary worldwide. You should seek medical and travel health advice tailored to your specific needs as early as possible before departure.
Reliable sources of information include:
- The U.S. Centers for Disease Control and Prevention (CDC): www.cdc.gov/travel
- The U.S. Department of State – Travel Advisories: travel.state.gov
- Your primary care physician or a specialist travel medicine clinic
If you take prescription medications, ensure you bring an adequate supply for the duration of your trip, carry them in their original labeled containers, and pack them in your carry-on luggage. Always check local regulations in your destination regarding prescription or over-the-counter medications, as some may be restricted or prohibited abroad.
Please note: The United States does not have a reciprocal overseas healthcare agreement similar to the European Health Insurance Card (EHIC). Comprehensive travel insurance with medical coverage is essential. This should cover emergency treatment, hospital stays, prescription medications, medical evacuation, and repatriation if required.
31. TRAVELERS WITH REDUCED MOBILITY
Overseas Accommodation and Transport:
Some overseas accommodations, local transportation services (including airport transfers), and other trip services abroad may not be equipped to cater for the specific needs of travelers with reduced mobility. In addition, natural terrain and the design or layout of certain destinations may make accessibility challenging for wheelchair users or those with mobility limitations.
If you have a disability, reduced mobility, or other special requirements, it is important that you notify us at the time of booking so we can make appropriate inquiries on your behalf. You must satisfy yourself regarding the suitability of accommodations, resorts, transportation, and services before confirming your trip.
Please note: We cannot be held responsible if you fail to inform us in advance of special needs or requirements that may affect your travel experience. Failure to disclose relevant information may limit the assistance available, and in such cases we will not provide compensation.
At the Airport & Onboard Your Flight:
If you require special assistance at the airport or onboard your flight, please inform us as early as possible. U.S. airlines and many international carriers are subject to the Air Carrier Access Act (ACAA), which prohibits discrimination on the basis of disability and requires airlines to provide certain types of assistance.
We also ask that you let us know if you have a pre-existing medical condition or a recent injury so we can help determine whether you are fit to travel and address any specific concerns with the airline or service provider. Airlines may require additional documentation (such as a medical certificate) for certain conditions.
32. TRAVELING WHILE PREGNANT
Most airlines enforce strict regulations for expectant mothers. Policies vary by carrier, but airlines generally permit travel up to 24 to 36 weeks of pregnancy, often requiring a medical certificate from a physician after a certain stage (commonly after 28 weeks).
We strongly recommend that you:
- Consult your physician prior to booking and again prior to travel.
- Review your airline’s specific pregnancy travel policies.
- Carry a doctor’s note confirming your due date and medical clearance to fly, if applicable.
Please note that airlines and other service providers have sole discretion to deny boarding if they believe it may compromise the safety of the traveler or flight.
33. TRAVEL TIPS
Maps/Climate Charts: Maps are to be used as a guide only and are not to scale.
Money: We recommend the purchase of a Cash Passport for the bulk of your trip money, with a small amount of local currency for initial sundry items. Major credit cards are also widely accepted in all destinations. In some cases, local currencies may have to be purchased after arrival or there may be restrictions on the amount you are permitted to buy in advance. We suggest you contact your Travel Agent for details.
Power & Water Supplies: In most destinations you will find the supplies of water and power to be extremely reliable; however, in some countries this is not the case, and these places may frequently suffer from power cuts and restrictions on the water used.
34. PUBLIC HOLIDAYS
In many destinations, local and religious public holidays may significantly affect the availability of services, opening hours, and general atmosphere of your trip.
Muslim Countries: Dates of religious festivals are based on local moon sightings. During the month of Ramadan, fasting is observed from sunrise to sunset. There may be restrictions on eating, drinking alcohol, and smoking in public. Shops, restaurants, and attractions may have reduced hours or close entirely. Ramadan typically falls at different times each year; please check with us for the expected dates at your chosen destination.
Chinese New Year: This is a major holiday throughout Asia. Flights and hotels may be extremely busy, and most ethnic Chinese businesses (including shops and restaurants, though usually not hotels) may close during the festivities. Chinese New Year dates vary annually based on the lunar calendar.
Other Festivals and Holidays: National holidays, religious festivals, and major sporting or cultural events can also impact your trip. They may affect traffic, availability of accommodations, opening times of attractions, and the general pace of life in your chosen destination.
If you would like to know more about international public holidays and how local events may impact your travel, please contact the appropriate tourist board or ask us for guidance when booking.

BOOKING TERMS & CONDITIONS
We are Major Travel USA LLC, a Delaware limited liability company with its principal offices located at 223 Main St 2nd Floor Port Washington, NY 11050-3213, USA. In these Booking Conditions, references to “we,” “us,” and “our” refer to Major Travel USA LLC. References to “you” and “your” include the first named person on the booking, all persons on whose behalf a booking is made, and any person to whom a booking is transferred.
OUR OBLIGATIONS
Our obligations to you will vary depending on the type of services you purchase:
When we act as the organizer of a package: If we combine and sell two or more travel elements (such as flights, accommodations, tours, or ground transportation) for a single inclusive price, we act as the principal and organizer. In this case, your contract is with Major Travel USA LLC., and we accept responsibility for the proper performance of the travel services included in your package, subject to these Booking Conditions and applicable U.S. law.
When we act as an agent: If we sell you individual travel services (such as an airline ticket, hotel stay, or car rental) on behalf of a third-party supplier, we act solely as a booking agent. In this case, your contract will be with the relevant supplier (for example, the airline, hotel, or car rental company), and their terms and conditions will apply. Our responsibility in such cases is limited to the booking process itself.
OUR OBLIGATIONS – BOOKING CONDITIONS
1. ACCURACY OF INFORMATION
We strive to ensure the accuracy of all descriptions, prices, and information published in our advertising materials, website, and booking confirmations. However, changes and errors may occasionally occur. We reserve the right to correct errors and update information at any time.
You are responsible for reviewing the most current and accurate information relating to your travel arrangements prior to confirming your booking.
We are not liable for booking errors attributable to you (including but not limited to spelling mistakes in names, incorrect passport details, or incorrect travel dates).
We are not liable for errors caused by unforeseen and extraordinary circumstances outside our control (including, but not limited to, government regulations, natural disasters, acts of terrorism, or public health emergencies).
2. OUR AGREEMENT WITH YOU
Before a binding contract is formed, you will receive clear information about the main characteristics of your chosen travel arrangements. Together with these Booking Conditions, our Privacy Notice, and any additional written information provided to you at the time of booking, these documents form the basis of your contract with us.
By making a booking, you agree to be bound by these terms and conditions. The key terms of our agreement are:
- A binding contract will exist between you and us when we issue a booking confirmation showing all components of your trip as “confirmed.”
- If you cancel your arrangements after confirmation, you may be required to pay cancellation charges up to 100% of the total cost, depending on when cancellation occurs and/or the terms and conditions of the relevant suppliers.
- You may request changes to your booking after confirmation. Where changes are possible, we will charge an administrative fee and any additional supplier costs incurred.
- We may make changes to or cancel confirmed arrangements when necessary. In such cases, we will provide suitable alternatives or, if alternatives are not available, issue a refund. In some cases, you may also be entitled to compensation under applicable U.S. consumer protection laws.
- We are responsible for ensuring that the travel services we directly provide are performed with reasonable skill and care. However, our liability is subject to limitations and exceptions described in these Booking Conditions and under applicable U.S. law.
- All bookings must be made through Major Travel USA LLC., or one of our authorized travel agents.
- The lead passenger is responsible for ensuring that all required payments are made to us on time and for providing accurate information on behalf of the group.
- Subject to the availability of the travel services requested and the receipt of all applicable deposits or payments, a binding agreement will exist once we issue a booking confirmation, either directly to you or through an authorized travel agent acting on our behalf.
- It is your responsibility to carefully review all booking confirmations and travel documents immediately upon receipt. If you notice any errors or inaccuracies, you must notify us as soon as possible. Failure to do so may affect your rights, limit our ability to make corrections, and could impact your ability to travel.
- Please note that the suppliers providing your travel services (such as airlines, hotels, and ground transportation providers) supply their services in accordance with their own terms and conditions. Those supplier terms and conditions will also form part of your agreement with us. Certain terms may limit or exclude the supplier’s liability to you in accordance with applicable U.S. federal law, international conventions (such as the Montreal Convention for air travel), and local laws. Copies of the relevant supplier terms are available upon request.
3. PAYMENT
You must make payment for your arrangements in accordance with the instructions provided in your quotation or booking confirmation. Payment deadlines may include deposits, installment schedules, or payment in full, depending on the services booked.
If we do not receive any payment due in full and on time, we reserve the right to treat your booking as cancelled by you. In such cases, the cancellation charges set out in Clause 5 will apply.
If you are paying by credit card, debit card, or other electronic method, you authorize us to charge the card or account provided for all amounts due in connection with your booking, subject to applicable federal protections under the Fair Credit Billing Act.
4. CREDIT CARD BOOKINGS
While we do accept major credit cards including Visa, Mastercard, American Express and Discover, travelers must provide to us a click or signed authorization for every transaction for your trip. Your authorization is an agreement for us to charge your card and an acknowledgement and agreement to these terms and conditions including the cancellation terms. As such you agree not to make any improper chargebacks.
In certain cases, you have the ability to dispute charges with credit card companies ("chargebacks"). Before initiating a chargeback, we ask you first to call us to discuss any questions or concerns about our charges. We will work with you in attempting to resolve your concerns. By using our service to make a reservation, you accept and agree to our cancellation policy. Alex Smookler Travel retains the right to dispute any chargeback that is improper and recover any costs, including attorney’s fees related to improper chargebacks. Additionally, in the event of an improper chargeback, we retain the right to cancel any travel reservation related to that improper chargeback. The following chargeback scenarios are improper and we retain the right to investigate and rebut any such chargeback claims:
- Chargebacks resulting from non-cancellable reservations, whether or not the reservation is used.
- Chargebacks resulting from charges authorized by family, friends, associates or other third parties with direct access to your credit card. This does not include credit card fraud.
- Chargebacks arising from inconsistency or inaccuracy with regard to the supplier’s product description.
- Chargebacks resulting from force majeure or other circumstances that are beyond the control of Alex Smookler Travel or the Supplier.
- Chargebacks resulting because you do not agree with the cancellation policy.
5. PAYMENTS MADE TO AUTHORIZED AGENTS
If you make a payment to one of our authorized travel agents who is expressly permitted to collect funds on behalf of Major Travel USA LLC, that payment will be treated as though it has been paid directly to us.
If you make payment to a third party who is not authorized by us to collect funds, such payments will not be considered received by Major Travel USA LLC. until we are in actual possession of cleared funds.
6. CANCELLATION AND CHANGE POLICY
Charges in the Event of a Cancellation:
If the reason for your cancellation is covered by your travel insurance policy, you may be able to reclaim some or all of the charges described below. We will deduct the applicable cancellation charges from any payments you have already made to us.
Packages and Accommodation-Only Bookings:
To cover our expected losses from the cancellation of a booking, the following scale of charges will apply if you or anyone traveling with you cancels:
Time we receive and process your notice / Cancellation charge (Package Trips) / Cancellation charge (Accommodation Only):
- More than 60 days before departure – Deposit only (non-refundable) / Deposit only (non-refundable) or as per hotel/supplier terms
- 59–45 days before departure – 30% of total booking cost (or loss of deposit if greater) / 30% of total booking cost or as per hotel/supplier terms
- 44–30 days before departure – 50% of total booking cost (or loss of deposit if greater) / 50% of total booking cost or as per hotel/supplier terms
- Less than 30 days and up to 15 days before departure – 80% of total booking cost / 80% of total booking cost or as per hotel/supplier terms
- 14 days or less before departure – 100% of total booking cost / 100% of total booking cost or as per hotel/supplier terms
Accommodation Only: There may be a time-lag between sending a cancellation request and it being processed with the hotel/supplier. Please ensure requests are sent within 48 working hours of cancellation charges to ensure a timely response.
Flights and Other Travel Services (Non-Package): If you need to cancel a flight-only booking or other standalone service, you must contact your travel advisor immediately. Cancellation charges vary depending on the airline or supplier’s policies and typically increase as the departure date approaches. A minimum cancellation fee of $75 per person per booking will apply. Many air tickets are non-refundable once issued, and in such cases, the cancellation charge is 100% of the ticket cost. Refunds for refundable tickets will only be issued once we receive the funds back from the airline or consolidator. We will then return those funds to you, minus a $75 per ticket administration fee.
Charges in the Event of a Change (By You):
If you wish to make changes to your booking and we are able to accommodate them, the following will apply:
- An amendment fee of $75 per person per change;
- Any increase in rates or supplier charges resulting from the change;
- Any additional costs we incur in processing the change.
Certain arrangements (such as non-refundable hotel bookings, cruise cabins, or airfare) may not be changeable once confirmed. In such cases, any alteration or cancellation may incur charges of up to 100% of that portion of the arrangements, in addition to the fees above.
Changes and Cancellations by Us: We reserve the right to make necessary changes to your arrangements. Most changes are considered insignificant and will not entitle you to compensation. Examples include, but are not limited to:
- A change in your departure time or total trip duration of 12 hours or less;
- A change of accommodation to another property of the same classification or standard;
- The inability of our suppliers to meet a special requirement that we confirmed in writing on your booking invoice, where that requirement is material to your arrangements;
- An increase in the price of your arrangements by more than 8% of the total booking cost (excluding insurance premiums, amendment charges, and/or additional services).
In the unlikely event of a significant change (such as a major schedule alteration or downgrade in accommodation class), you will be entitled to one of the following:
- Accept the revised arrangements at the new price;
- Transfer your booking to another available package of equal or higher value at no additional cost;
- Cancel or terminate the contract, in which case you will receive a full refund of all monies paid to us without undue delay;
- Accepting substitute arrangements of comparable standard and value, if available. If the substitute arrangements are of a lower price or reduced quality, you will be entitled to a price reduction. If they are higher in price or quality, you may be asked to pay the difference.
You must notify us of your decision within seven (7) days of our offer. If you fail to respond, we will contact you again to reiterate your options. If you again fail to respond within seven (7) days, we may treat your booking as cancelled and refund all monies paid.
Compensation: Where your arrangements qualify as a package under U.S. federal or local state law, and subject to the limitations below, we will pay reasonable compensation where appropriate.
We will not pay compensation if:
- The change or cancellation occurs due to unavoidable and extraordinary circumstances (e.g., war, terrorism, natural disasters, public health emergencies, government travel restrictions, severe weather);
- We cancel your arrangements no later than 20 days before the start date because the minimum number of participants required for the package has not been met;
- We make only insignificant changes (examples: minor changes in flight times less than 12 hours, changes in room type within the same classification, or substitution of comparable activities);
- We cancel your booking due to your failure to comply with these Terms and Conditions (including non-payment);
- The changes or cancellation are the result of alterations requested by you.
7. IF YOU’RE TRAVELLING ON A PACKAGE WITH US
Changes after departure:
- If part of your trip cannot be provided after you’ve already travelled, we’ll do everything possible to offer you suitable alternative arrangements.
- Wherever possible, these will be of equivalent or higher quality than your original booking.
- If the alternatives are of lower quality, we’ll reduce the price accordingly.
- If return travel was included in your package, we will also ensure you have equivalent transport home at no extra cost and without undue delay.
Your right to reject alternatives:
- You may refuse the options we propose only if they are not reasonably comparable to your original booking, or the price reduction offered is inadequate.
- If no suitable alternatives are available (or you reject them reasonably):
- We will pay you compensation (where appropriate), subject to the limitations.
- If unavoidable and extraordinary circumstances prevent your return as planned, we will cover the cost of necessary accommodation for up to 3 nights per traveler in a property of equivalent standard.
- This 3-night limit does not apply to travelers with reduced mobility (and those travelling with them), pregnant women, unaccompanied minors, or those requiring specific medical assistance (where notified at least 48 hours before travel).
- If relevant transport legislation specifies a different entitlement, that legislation will apply.
- Please note: This clause sets out the maximum extent of our liability. We cannot cover any expenses beyond what is listed here.
8. IF YOU’VE BOOKED OTHER TRAVEL ARRANGEMENTS (NON-PACKAGE)
Where we act as agent for another supplier (e.g., an airline, hotel, or cruise line), we will let you know as soon as possible if they make changes or cancellations.
If the supplier offers alternatives or a refund, you must confirm your choice within their timeframe. If you do not, they are entitled to process a refund only.
As your contract is directly with the supplier, we accept no liability for changes or cancellations made by them.
9. UNAVOIDABLE & EXTRAORDINARY CIRCUMSTANCES
In certain situations outside anyone’s control, neither we nor the supplier will be liable for compensation or price reductions. These include, but are not limited to:
- War, threat of war, civil unrest or terrorist activity (or the threat of it);
- Riots, strikes, or industrial disputes;
- Action by governments or local authorities (e.g., port closures, new regulations);
- Natural or nuclear disasters, fire, chemical or biological incidents;
- Adverse weather conditions, ice, or river/sea restrictions;
- Other similar events beyond our control;
- Advice from the Foreign Office to avoid or leave a country may also count as “unavoidable and extraordinary circumstances.”
10. LUGGAGE, PERSONAL POSSESSIONS & MONEY
The maximum amount we will pay you for any claim involving loss of and/or damage to luggage, personal possessions, or money is limited to the amount recoverable under your travel insurance policy, less any applicable deductible. We strongly advise that you obtain comprehensive travel insurance that provides adequate coverage for these types of losses. We cannot accept liability for items not covered by your policy or where adequate insurance has not been arranged.
11. CLAIMS COVERED BY INTERNATIONAL CONVENTIONS
When arranging transportation, our liability is limited by the applicable International Conventions and U.S. federal laws governing carriers, including but not limited to:
- The Montreal Convention (1999) with respect to international air travel;
- The Warsaw Convention where applicable;
- U.S. Department of Transportation (DOT) regulations regarding air carrier liability.
These conventions and regulations set out the extent and conditions under which compensation is payable, and in all cases, our liability will be limited as if we were the carrier under those Conventions. Copies of the relevant Conventions are available upon request.
12. OTHER CLAIMS (NOT INVOLVING INJURY, ILLNESS, OR DEATH)
For claims not involving injury, illness, or death — and not otherwise covered by international conventions or U.S. federal law — the maximum amount we will pay you is:
- Three times the total price paid by or on behalf of the affected traveler(s) for package arrangements, or
- Twice the total price paid for non-package arrangements.
This limit applies only in cases where you or your party have received no material benefit from the arrangements due to our breach.
13. JURISDICTION AND APPLICABLE LAW
This agreement and any disputes arising from it will be governed by the laws of the State of Florida, United States of America, without regard to conflict of law principles.
You agree that any legal action or proceeding under or in connection with these Terms and Conditions will be brought exclusively in the state or federal courts located in Miami-Dade County, Florida. Both parties consent to the jurisdiction of such courts.
14. CONSUMER PROTECTION AND DISPUTE RESOLUTION
We adhere to all applicable U.S. consumer protection laws, including regulations enforced by the Federal Trade Commission (FTC) and the U.S. Department of Transportation (DOT) in respect of travel services.
If you have a complaint:
- Please notify us promptly while still in resort or during your travel so that we may attempt to resolve the issue immediately;
- If unresolved, please submit a formal written complaint to us within 30 days of your return;
If a dispute cannot be resolved through our internal process, you may have the right to pursue alternative dispute resolution (ADR) or arbitration in accordance with U.S. federal and local state law.
15. FINANCIAL PROTECTION
If your travel arrangements include flights purchased through a U.S. air carrier, your payments are protected under U.S. DOT regulations, which require carriers to maintain financial responsibility for refunds and services.
We strongly recommend purchasing comprehensive travel protection insurance (including trip cancellation, medical coverage, and supplier default protection) to safeguard your investment.
16. PASSPORT, VISA, IMMIGRATION REQUIREMENTS AND HEALTH FORMALITIES
It is your responsibility to check and fulfil the passport, visa, health, and immigration requirements applicable to your itinerary. We can only provide general information about these requirements. You must verify the requirements for your specific circumstances with the relevant Embassies and/or Consulates, and consult your own physician or health provider, as applicable.
Most countries require that passports be valid for at least six (6) months beyond the date of your intended return to the United States. If your passport is due to expire within this timeframe, you should confirm requirements with the Embassy or Consulate of the country you are visiting.
For health-related travel information, including vaccination requirements, consult your physician and review guidance from the U.S. CDC at www.cdc.gov/travel.
Non-U.S. passport holders, including lawful permanent residents and nationals of other countries, should obtain up-to-date advice on passport, visa, and transit requirements from the Embassy or Consulate of their destination country, as well as any countries through which they may be transiting.
If you are unable to travel or use the trip, flights, or any other services booked with us because you have not obtained the required documents, vaccinations, or clearances, your booking will be subject to our standard cancellation rules. We do not accept responsibility for losses incurred due to non-compliance.
17. FLIGHTS
We are required to advise you of the airline carrier(s) (or, if the carrier(s) is not known, the likely carrier(s)) that will operate your flight(s) at the time of booking. Where we are only able to inform you of the likely carrier(s) at the time of booking, we will confirm the identity of the actual carrier(s) as soon as we become aware of this. Any change to the operating carrier(s) after your booking has been confirmed will be communicated to you as soon as possible.
We may not always be in a position at the time of booking to confirm the aircraft type and flight timings for your itinerary. The flight schedules and aircraft types displayed on our website, in brochures, or on your confirmation invoice are for guidance only and remain subject to alteration. The most up-to-date flight details will appear on your ticket(s). You should therefore check your tickets carefully immediately upon receipt to ensure that the details are correct.
Flight times are subject to change even after ticket issuance. While we will notify you as soon as possible of any significant changes, we strongly recommend that you reconfirm your flight times directly with the airline at least 24 hours prior to departure, and again prior to your return journey. Any change in the identity of the carrier, flight timings, and/or aircraft type will not entitle you to cancel or change your arrangements without incurring our normal charges, except where specifically provided under these conditions.
Under U.S. Department of Transportation (DOT) regulations, if you are involuntarily denied boarding, your flight has been cancelled, or it has been significantly delayed, it is the airline’s legal responsibility to provide assistance and/or compensation where applicable. Depending on the circumstances and the airline’s policies, this may include meals, accommodation, re-routing, or refunds. Full details of passenger rights are available on the DOT’s website at www.transportation.gov/airconsumer.
We accept no liability in these circumstances. Any claim for assistance or compensation must be made directly to the airline. The liability of an airline under U.S. law does not automatically entitle you to a refund of your trip cost from us. If you do not pursue a claim directly with the airline and instead make a claim for compensation from us, you must assign to us in full your rights to pursue the airline in relation to the claim.
18. DELAY
We cannot accept liability for any delay or failure in performance which is due to unavoidable and extraordinary circumstances outside our reasonable control. A delay to or cancellation of your transportation service does not automatically entitle you to cancel or receive a refund for any other arrangements, even if those arrangements were made in conjunction with your transportation. However, you may be entitled to compensation or benefits directly from the airline, carrier, or under the terms of your travel insurance policy.
19. BOOKING CONDITION AMENDMENTS AND RIGHT TO REFUSE TRAVEL ARRANGEMENTS
We reserve the right to add, withdraw, and/or amend any of our Booking Conditions at any time and without prior notice. We further reserve the right, in our sole discretion, to decline or refuse any booking or traveler if we reasonably believe that accepting such a booking would present a risk to the safety, comfort, or enjoyment of other travelers, or could adversely affect our business operations.
20. SEVERABILITY
If any provision of these Booking Conditions is found by a court of competent jurisdiction to be invalid, illegal, or unenforceable, such provision shall be deemed severed, and the remaining provisions shall remain valid and enforceable to the fullest extent permitted by law.
21. UPDATES TO TERMS AND CONDITIONS
These terms and conditions are subject to change from time to time to reflect updates in company policy, industry practice, or applicable U.S. law. For the most current version of our Booking Conditions, please visit our website.
